Many procedures for working in USA

I will work in America from this October as a postdoctoral fellow. I should follow many procedures, one of which is a registration of my information to the department of the research institute where I work.
I need Social Security Number of USA, whereas it will be given after I start staying in USA. Then, I should tell to the department that I don’t have the number now. In addition, I should prepare for obtaining my visa by being supported by the department. I should make clear whether I have a Ph.D or not, and whether I have a wife or not. I should tell my race, which is surprise because I have never met such situation that I need the information of my race in Japan. Moreover, the way to enter the address is different from that of Japan. I don’t know how to enter the correct telephone number of my parent's home. I wonder whether the first zero after the Japanese country number, +081, should be deleted.
There are many things I don’t know.
